Accessing Your CHAP Applicant Data Archive (Video)

Your agency’s CHAP applicant data has been archived and is accessible to download via Box.com. The following instructions will guide you through accessing and navigating that data.

  1. Box.com access: The designated staff member at your agency will receive an email invitation to your agency’s data via the “CHAP System Closeout” on Box.com
    1. You will need to create a create Box.com account if you do not have one
    2. Use the emailed link from Box.com to access your agency’s folder on the “CHAP System Closeout” at Box.com that will include your agency’s archived data
  2. Downloading the data: Download your agency’s .zip file with the naming convention of “archive-#-agency letter abbreviation.zip”.   
    1. Navigate into your agency’s folder on the “Chap System Closeout” and select the .zip file. The Download button is on the top right-hand corner of the site once you have selected the .zip file.
    2. Save .zip file to a secure location on your agency’s computer or network.
    3. Extract the contents of the .zip file to a secure location on your agency’s computer or network.
  3. Archived data folder structure:The folder structure contains your agency’s archived list and applicant data. The entire folder structure must be saved on your computer or network to access the archived applicant data.
    1. The folder structure contains your agency’s archived list and applicant accounts.
    2. The “index.html”, in the “site” subfolder, links to your agency’s applicant list. This list includes applicant IDs and names and can be used to navigate to a specific applicant account.
    3. The remaining folders can be ignored but must remain in place to access the archived data.
  4. Accessing applicant data and agency lists: Agency lists include all applicants in your account and can be accessed using the “The “index.html”, in the “site” subfolder.
    1. To find an applicant on your list, navigate to your agency’s list via the “index.html” and search within the web browser by applicant name or ID.
    2. Once you are in an applicant’s account, you can view applicant requests, household information, applicant notes, and download applicant documents.

Note:  An applicant’s personal ID is only visible by clicking “edit applicant info”. This feature does not allow you to edit the applicant information, it is only enabled to view the applicant ID.
